Booking Terms and Conditions

These terms apply to bookings for The Courtyard, self-contained accommodation in Aston Clinton, Buckinghamshire.
The Courtyard is operated by Peter and Denise Matthews.

1. Making a booking
Submitting an availability form does not create or confirm a booking.
After receiving your request, we will confirm whether the accommodation is available and provide:
- The total price;
- The payment required;
- A copy or link to these Booking Terms;
- The property address; and
- Any relevant booking information.
A booking is confirmed only when:
- You have accepted these Booking Terms;
- We have received the required payment; and
- We have sent written booking confirmation.
The person making the booking must be at least 18 years old and is responsible for ensuring that everyone staying at the property complies with these terms.
Where a company makes the booking, the company is responsible for payment and for ensuring that the named guests receive and follow these terms.
2. Prices
Prices are for the accommodation, not per person, and are based on a maximum occupancy of two guests.
Unless stated otherwise, the price includes:
- Reliable Wi-Fi;
- Dedicated off-road parking;
- Utilities;
- Bedding and towels; and
- End-of-stay cleaning.
Any additional charge will be disclosed and agreed before the booking is confirmed.
3. Payment
For bookings made more than 28 days before arrival, a 25% deposit is required to confirm the booking. The remaining balance is due 28 days before arrival.
Bookings made within 28 days of arrival must be paid in full when confirmed.
Payment may be made by bank transfer or through a secure card-payment link.
If a balance remains unpaid after its due date, we will contact you and allow a reasonable opportunity to make payment. If payment is still not received, we may release the dates and treat the booking as cancelled.
Different invoicing arrangements may be agreed in writing for approved corporate customers.
4. Refundable security deposit
A refundable security deposit of £100 is required for all bookings unless we expressly agree otherwise in writing.
The security deposit is payable with the final balance and is separate from the accommodation charge.
We aim to return it within five working days after departure. Reasonable deductions may be made for:
- Damage or breakages;
- Missing items;
- Lost or unreturned keys;
- Cleaning substantially beyond that normally required; or
- Other direct losses caused by a breach of these terms.
We will explain any deduction and provide supporting information where appropriate.
The security deposit does not limit a guest’s responsibility for reasonable losses or damage exceeding £100.
5. Cancellations by guests
Cancellations must be made in writing by email.
Refunds are calculated according to the notice received before the scheduled arrival date:
- 14 days or more: full refund;
- 7–13 days: 50% refund;
- Fewer than seven days: no refund;
- Failure to arrive: no refund.
We will make reasonable efforts to rebook cancelled dates. If we successfully rebook all or part of the stay, we will refund the corresponding amount recovered, less any reasonable costs. We will not retain payment twice for the same accommodation dates.
Leaving before the booked departure date does not automatically entitle the guest to a refund.
We strongly recommend that guests arrange suitable travel insurance covering illness, disruption and unexpected changes of plan.
6. Changes to a booking
Requests to change booking dates must be made in writing and are subject to availability.
We will try to accommodate reasonable requests, but changes are not guaranteed. If alternative dates cannot be agreed, the request may be treated as a cancellation under section 5.
7. If we cancel the booking
In the unlikely event that we cannot provide the accommodation, we will contact you promptly and refund all accommodation payments and the security deposit.
We will not be responsible for indirect or consequential expenses, but nothing in these terms affects your statutory rights or excludes liability that cannot legally be excluded.
8. Occupancy and use
The maximum occupancy is two guests. Only the people named on the booking may stay overnight unless we have agreed otherwise in writing.
The accommodation must not be:
- Sublet or transferred to another person;
- Used for parties or events;
- Used for commercial activities other than ordinary remote working; or
- Used in a way that causes unreasonable noise, nuisance, damage or disruption.
Guests are responsible for their conduct and that of permitted visitors.
We reserve the right to require guests to leave in cases of serious misconduct, illegal activity, deliberate damage or a material breach of these terms. Any refund will depend upon the circumstances, our resulting loss and applicable law.
9. Check-in and check-out
Check-in is from 3pm on the arrival date.
Check-out is by 10am on the departure date.
Full arrival and access instructions will be provided before the stay. Early arrival or late departure is only available when expressly agreed in advance.
10. Keys
Guests are responsible for keeping the accommodation secure and for returning all keys as instructed.
A charge of £20 applies for each lost or unreturned key. Guests may also be responsible for reasonable additional costs if locks must be replaced for security reasons.
11. Damage and cleanliness
Guests must take reasonable care of the accommodation and its contents.
Damage, breakages or maintenance problems should be reported as soon as possible so that we can take appropriate action.
Guests may be charged the reasonable cost of repairing damage, replacing missing items or undertaking cleaning substantially beyond that normally required after a stay.
12. Pets and assistance dogs
Pets are not accepted and must not be brought into the accommodation or courtyard. Guests must not allow visitors to bring animals onto the property.
If a pet is brought onto the property without our prior written agreement, we may require its immediate removal. The guest will be responsible for reasonable additional cleaning, deodorising, pest treatment, repairs or other direct costs resulting from the animal’s presence. These costs may be deducted from the security deposit, with any additional amount remaining payable.
A serious or continuing breach may result in the stay being terminated. Any refund will depend upon the circumstances, our resulting loss and applicable law.
This restriction does not apply to assistance dogs. Assistance dogs are welcome, and guests are asked to tell us when requesting availability so that we can discuss practical requirements and help make the stay comfortable.
13. Smoking, vaping and illegal substances
Smoking and vaping are not permitted inside the accommodation.
Guests may smoke or vape in the outside courtyard, provided that doors and windows are kept closed and all waste is disposed of safely.
The possession, use or supply of illegal drugs or substances is strictly prohibited anywhere on the property. Suspected illegal activity may be reported to the police.
14. Wi-Fi
Wi-Fi is provided for reasonable personal and business use.
Guests must not use the internet connection for unlawful purposes or in a way that interferes with the service, infringes another person’s rights or creates a security risk.
Wi-Fi availability can occasionally be affected by circumstances outside our reasonable control.
15. Access to the accommodation
We will respect guests’ use of the accommodation throughout their stay.
We may need to enter in an emergency, to address an urgent safety or maintenance issue, or where we reasonably believe serious damage or a breach of these terms is occurring. We will give notice whenever circumstances reasonably permit.
We may occasionally pass through the gated courtyard to access a separate workroom, but we aim to keep any disturbance to a minimum.
16. Accessibility and individual requirements
Guests should contact us before booking to discuss accessibility requirements or any reasonable adjustments that may be needed.
We will provide accurate information about the accommodation and consider reasonable requests, but guests remain responsible for deciding whether the property meets their individual needs.
17. Personal belongings
Guests are responsible for their personal belongings and should ensure that the accommodation is locked when unattended.
We are not responsible for loss or damage unless it results from our negligence or another liability that cannot legally be excluded.
18. Problems and complaints
Please report any problem during your stay as soon as reasonably possible so that we have an opportunity to resolve it.
Complaints should be emailed to peter.matthews@mac.com and should include the booking name, stay dates and details of the issue.
19. Personal information
Personal information is processed in accordance with our Privacy Notice, available on this website.
20. Applicable law
These terms are governed by the laws of England and Wales.
Nothing in these terms restricts any statutory rights you may have as a consumer.
